City-Wide Fleet Management System Implementation and SmartSourcingSM

Project Description
The City Department of Fleet Management contracted with SDI to design and install an integrated information system allowing the efficient management of repairs to approximately 11,500 vehicles owned and operated by Chicago's five primary vehicle using Departments: Fleet Management, Police, Fire, Water, and Streets and Sanitation. The system allows approximately 650 managers and shop floor maintenance personnel to track 11,000 work orders per month for repair and maintenance operations and 106,000 inventory items across 15 facilities throughout the City. In addition, the system has been designed to ensure that both its functionalityand capacity are expandable to accommodate future usage growth and integration with other ERP systems.

Goals

An integrated client-server Vehicle Maintenance System (Maximus’ M/4) will replace an obsolete mainframe and paper and pencil system, allowing for the efficient tracking of vehicle maintenance and repair, management decision-making, and report generating functions associated with the City's fleet management operations. The SDI solution will allow the City to generate consolidated reports using data from all five Departments and will ensure a seamless interface between the fleet system and the City's Oracle Financials, Purchasing, Human Resources, and Payroll Management system now being implemented.

Solution/Services

  • Business Process Re-engineering: analyzed Fleet's current business practices and procedures, and current network infrastructure to determine required improvements and system functionality; redesigned existing maintenance processes to take advantage of potential technology efficiencies
  • Evaluated vehicle and fleet maintenance software systems and selected the CSI-Maximus M/4 package for its broad functionality, open architecture, and expansion capabilities; customized selected components of M/4 software package to fully conform to Fleet
  • Specified and oversaw the City's Department of Business Information Systems' installation of a client server based network consisting of approximately 210 workstations at 15 separate sites
  • Trained City personnel in the use, operation, and maintenance of the system
  • On-site SmartSourcing technical support (5x8)

Result

With over 800 users, the system actively manages:

  • 14 Maintenance locations
  • 15 Inventory locations
  • 12,771 active vehicles and pieces of equipment, ranging from generators, to compressors, to Segways

The City is now able to efficiently manage operations, scheduling, and expense at all vehicle repair and maintenance facilities, thus allowing more effective budgeting and reporting.
